Job Description

DISTINGUISHING FEATURES OF THE CLASS: This work involves responsibility for the performance of standardized clerical tasks and the full-time or substantial part-time operation of a computer for the entry and retrieval of information using software to produce printed material such as letters, memoranda and forms. Specific duties vary with the needs of the department. Procedures are usually fixed, but detailed instructions are given for new or difficult assignments. Work is reviewed by direct observation, checking completed work, periodic or spot checks, cross-checking or other steps in the clerical process. Does related work as required.

Position equals 6.5 hours of Senior Keyboard Specialist duties and 1.5 hours of Teacher Aide per day. This is a ten-month position.

The hourly range is between $18.00 and $22.00 based upon experience and the collective bargaining agreement.

TYPICAL WORK ACTIVITIES:

  • Provides support for state and local assessments, including preparation work, pulling reports, and assisting on testing days:
  • Prepares correspondence, documents, records, and other written material in final or draft form using handwritten, rough drafts, marked copy, oral recordings, or data from various equipment as the source material;
  • Types and updates work producing an accurate, clean, and complete prepared copy;              
  • Prepares, maintains, and updates electronic lists, documents, and district data;
  • Updates and stores department forms on a computer or word processor;
  • Prepares requisition orders;
  • Prepares mailings and distributes materials;
  • Maintains alphabetic, numeric, and/or chronological files of correspondence, documents, and materials by coding and filing new material, searching for requested material, and periodically purging obsolete material;
  • Schedules meetings and appointments;
  • Prepares and maintains district professional development records and federal grant reports.
Job Qualifications

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: 

    • Ability to operate a personal computer and utilize common office software programs including word processing, spreadsheets, and databases at an acceptable rate of accuracy and speed;
    • Ability to set up appropriate forms, charts, and other tabular listings;
    • Ability to perform close, detailed work involving considerable visual effort and concentration to provide accuracy;
    • Ability to understand and follow oral and written instructions;
    • Ability to multi-task throughout the day and manage multiple deadlines throughout the school year;
    • Ability to follow secure procedures and maintain confidentiality.

MINIMUM QUALIFICATIONS:

Graduation from high school or possession of a high school equivalency diploma (HSE).

Experience in a school/business office setting is preferred.

Candidates will not have to take an exam for this title. This is a Hiring Emergency Limited Placement (HELP) Program-designated title. The HELP Program is a temporary program designed to help local government employers address current staffing issues. Traditionally, the titles filled under the HELP Program required job candidates to compete in a competitive exam to be considered for employment. For the duration of the program, this title will be classified as non-competitive and categorized as a “HELP Program” position. At the close of the program, this position will revert to competitive class status. Employees occupying positions filled through the HELP Program will be granted competitive class status without the need to participate in a competitive exam.
